This Refund Policy outlines the conditions under which refunds may be issued for our services. Please read this policy carefully before engaging our services. By making a payment to WebWynk, you acknowledge that you have read, understood, and agree to this Refund Policy.

1. Company Information

WebWynk is a results-driven digital marketing and web development agency registered and operating out of Sector V, Kolkata, India, with an additional management presence in the United States. We provide professional digital services to businesses, startups, entrepreneurs, and organizations worldwide.

2. General Refund Principles

As a professional digital services agency, WebWynk invests significant time, expertise, planning, and creative resources from the very beginning of each engagement. Due to the custom, labor-intensive, and intangible nature of digital services, our refund policy is structured to be fair to both parties while protecting the value of the work delivered.

We strongly encourage all prospective clients to:

  • Request a free consultation before committing to any service.
  • Review the project proposal and scope of work carefully before making payment.
  • Raise any concerns or questions before the project begins.
  • Maintain open communication throughout the project to ensure alignment.

3. Non-Refundable Situations

The following situations are not eligible for a refund:

  • Advance / Deposit Payments: Initial deposits (typically 50% of the total project fee) are non-refundable once the project has commenced, as they cover initial strategy, planning, design concepts, or development setup costs.
  • Change of Mind: Refunds will not be issued if a client decides they no longer want the service after work has begun, or simply changes their mind about the project direction.
  • Client-Caused Delays: If a project is stalled or abandoned due to the client's failure to provide required materials, approvals, or feedback, no refund will be issued for completed work.
  • Completed & Delivered Work: No refund will be provided for any service or deliverable that has been completed, delivered, and not disputed within 5 business days of delivery.
  • SEO & Digital Marketing Services: Due to the ongoing, unpredictable, and effort-intensive nature of SEO, social media marketing, and PPC campaigns, payments for these services are non-refundable once the campaign has been activated and work commenced in that billing cycle.
  • Third-Party Costs: Any amounts paid to third-party platforms, tools, or services on the client's behalf (domain registration, hosting, premium plugins, stock imagery, ad spend, etc.) are strictly non-refundable.
  • Dissatisfaction with Results: WebWynk does not guarantee specific business outcomes (e.g., search engine rankings, leads generated, or revenue). Dissatisfaction with results that do not arise from a failure to deliver agreed deliverables does not entitle a client to a refund.

4. Partial Refund Eligibility

A partial refund may be considered in the following circumstances:

  • The client requests cancellation after work has commenced but before substantial completion of the project. The refund amount will reflect the value of work not yet completed, calculated on a pro-rata basis minus any non-recoverable costs.
  • WebWynk is unable to complete a mutually agreed-upon scope of work due to reasons entirely within our control. In this case, a partial refund proportionate to the incomplete portion will be issued.

All partial refund amounts are determined at the sole discretion of WebWynk management, based on documented work completed and costs incurred.

5. Full Refund Eligibility

A full refund may be issued only in the following exceptional circumstances:

  • WebWynk fails to commence the agreed service within the timeline specified in the project agreement, and the client has not contributed to the delay.
  • A duplicate/accidental payment was made. Clients must report duplicate payments within 48 hours of the transaction.
  • WebWynk is unable to deliver the service at all due to circumstances within our control (e.g., company inability to fulfill the contract) and no alternative resolution can be agreed upon.

Please Note: Full refunds are rare and issued only when WebWynk is genuinely unable to deliver the agreed service. We always prioritize finding an alternative resolution — such as a revised timeline, adjusted scope, or service credit — before considering a full refund.

6. Subscription & Retainer Services

For ongoing monthly retainer services (SEO, Social Media Marketing, Content Creation, etc.):

  • Monthly retainers are billed in advance at the start of each billing cycle.
  • Clients may cancel future monthly cycles with a minimum of 15 days' written notice before the next billing date.
  • There are no prorated refunds for unused days within a billing cycle that has already commenced.
  • Any work in progress at the time of cancellation will be delivered to the client upon receipt of outstanding dues.

7. Refund Process & Timeline

To request a refund, clients must follow this process:

  • Send a formal written refund request to [email protected] with the subject line: "Refund Request — [Your Name / Project Name]".
  • Include your full name, contact number, invoice number, payment date, payment method, and a detailed reason for the refund request.
  • Our team will acknowledge your request within 2 business days.
  • We will review the request and communicate our decision within 7 business days of receipt.
  • If a refund is approved, it will be processed within 7–14 business days to the original payment method (PayPal or Wise account).

Important: Refund requests submitted more than 30 days after the original payment date will not be considered under any circumstances.

8. Chargebacks & Payment Disputes

We strongly encourage clients to contact us directly at [email protected] before initiating a chargeback or payment dispute through their bank or payment provider. Most concerns can be resolved quickly and amicably through direct communication.

Initiating a chargeback without first contacting WebWynk may result in the suspension of all ongoing services, delivery of project files being withheld pending resolution, and the matter being escalated to legal proceedings where appropriate. WebWynk reserves the right to provide relevant documentation to payment processors and financial institutions to dispute fraudulent chargebacks.

9. Amendments to This Policy

WebWynk reserves the right to update or modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. It is the client's responsibility to review this policy periodically. Continued engagement with our services after a policy update constitutes acceptance of the revised terms.
